Steps to Set Up Automatic Email Sending

  • Open Microsoft Outlook.
  • Go to “File” from the top left drop-down menu.
  • Navigate to “Info” then “Manage Rules and Alerts” near the bottom.
  • Press the “New Rule” button.
  • Select the “Apply rule on messages I receive” option.
  • Select the “through specified account” in the bottom right drop-down.
  • Select the “with specific words in the recipient’s address” option.
  • Type in the email addresses that you want to trigger this rule in the “specific words” field.
  • Press the “Next” button.
  • Select the “forward it to people or public group” option.
  • Enter the email addresses of the people you want to send emails every time the rule is triggered.
  • Press the “OK” button.
  • Make sure all the other settings are as desired and press the “Finish” button to save the rule.

Now, whenever you send an email to the specified address, Outlook will automatically send the same email to all the recipients you had entered in the rule. You can set up numerous rules in Outlook to ensure that you keep in touch with all your contacts.
